The Visitor Experience & Administrative Assistant plays a pivotal role in ensuring the smooth operation of day-to-day activities within our environmental non-profit organization. This individual will be responsible for managing the visitor experience team, overseeing the volunteer program, providing administrative support to the Executive Director, and assisting with various events and programs in alignment with our mission. **Please note - this position requires one to have a flexible schedule - as some events/projects require working longer days (and some weekends)** The essentials: Proven experience in administrative support role, project and/or event coordination experience highly preferred. strong organizational skills with attention to detail and the ability to multitask effectively. Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment. Proficiency in Microsoft Office Suite and other relevant software applications. Knowledge of environmental conservation principles and practices is desirable. Flexibility to work occasional evenings and weekends for events and special projects. salary: $48,000 - $55,000 per yearshift: Firstwork hours: 11 AM - 6 PMeducation: High SchoolResponsibilities**Must have the ability for a flexible schedule - as some events require more time and attention than others** Executive Director Support: Offer assistance to the Executive Director by providing administrative support and facilitating communication with staff and stakeholders. Execute tasks and projects assigned by the Executive Director to support organizational goals and initiatives. Membership Renewal and Collections: Conduct outbound calls to members regarding the renewal of their membership applications, providing support with the renewal process. Follow up on past due balances for memberships and donations through light collections calls. Visitor Experience Management: Organize, schedule, and lead the visitor experience team to ensure excellent visitor satisfaction. Direct the volunteer program, including recruitment, training, scheduling, and recognition. Oversee operations onsite as needed to maintain a welcoming and informative environment for visitors. Administrative Support: Perform a variety of office management tasks including research, filing, copying, mailing, scheduling, reporting, and calendar upkeep. Manage mail donations, including data entry, admissions box deposits, reporting, and issuance of receipts. Event Coordination: Provide support for Workday Wednesday and Second Saturday events to facilitate volunteer participation and engagement. Assist the events manager in overseeing special events, coordinating logistics, and managing volunteers as needed.
